Overview & Practical Value

What This Tool Does

Allows couples to visually configure reception floor plans, assign guests to round, banquet, or sweetheart tables, track dietary allergies, and export clear table manifests for caterers and venue coordinators.

Step-by-Step Guide

How to Use This Seating Chart

1

Choose your table shapes and chair capacities (60" Round = 8–10 seats, 72" Round = 10–12 seats, 8ft Banquet = 8 seats).

2

Add or import your RSVP-accepted guest list.

3

Drag and drop guests onto tables, grouping family members, college friends, and coworkers together.

4

Flag special dietary meals (Gluten-Free, Vegan, Dairy-Free, Nut Allergy) and export your kitchen meal report.

Calculation Methodology

Room Capacity & Table Clearance Guidelines

Comfortable table spacing requires 60 inches (5 feet) edge-to-edge between round tables to allow chair push-back and server cart clearance. Dance floors require 3 to 4 square feet per dancing guest (typically 50% of your guest list at peak dancing).

Dance Floor Area (sq ft) = (Total Guest Count × 0.50) × 3.5 sq ft.
Industry Standards & Assumptions

Planning Assumptions Used in This Model

A 60-inch round table seats 8 guests comfortably and 10 guests maximum.
A 72-inch round table seats 10 guests comfortably and 12 guests maximum.
5% to 8% of attending guests require dietary meal tracking.

Frequently Asked Questions

Common Questions About Seating Chart

Should we do assigned seats or just assigned tables?

Assigned tables (where guests pick their own seat at their designated table) are standard for 90% of modern weddings. Assigned specific seats are only necessary for formal multi-course plated dinners where caterers require place cards with color-coded meal indicators.

Should we have a sweetheart table or a head table?

Sweetheart tables (just the couple) give you precious 1-on-1 time during dinner and allow your wedding party to sit with their own dates and spouses at nearby tables.

How do caterers know who gets which meal?

Export your WedShare seating summary with dietary flags. Place cards typically incorporate a subtle colored dot or symbol (e.g., gold for beef, green for vegetarian) so servers deliver plates seamlessly.
